How to Share a PDF More Safely

A practical pre-share review for PDF content and metadata.

Review the visible document

Read every page at normal zoom and inspect headers, footers, comments, form fields, filenames, and embedded links. Metadata cleanup cannot hide a name, address, account number, or revision note that remains visible in the document.

Check the file around the pages

Inspect supported metadata, look for attachments and annotations in a trusted PDF application, and decide whether signatures must remain valid. Create a cleaned copy only when changing the file is acceptable.

Share through an appropriate channel

Use an access-controlled channel suited to the sensitivity of the document, confirm the intended recipient, and avoid public links for restricted material. Keep the original and record which reviewed copy was actually sent.
